Privacy Policy

How Roberts–Warren Fire-Rescue collects, uses, and protects information submitted through this website.

Last updated: September 20, 2026

Our Commitment

Roberts–Warren Fire-Rescue is a volunteer fire and emergency medical services department serving the Village of Roberts, the Town of Warren, and the surrounding response area. We collect only the information we need to answer questions, process volunteer applications, schedule fire inspections, and meet our obligations as a public agency. We do not sell or rent personal information to anyone, ever.

Information You Give Us

You can browse this website without telling us who you are. We only receive personal information when you choose to send it to us, typically through one of our forms:

  • Contact form — your name, email address, phone number, and the message you write.
  • Volunteer application — your name, contact details, address or general location, age confirmation, availability, and any background or experience you choose to share.
  • Fire inspection request — business name, property address, contact person, email, and phone number.
  • Email and phone — anything you send directly to a department address or leave on our non-emergency line.

Information Collected Automatically

Like most websites, our web host records standard technical data when a page is loaded: IP address, browser type, device type, referring page, and the date and time of the visit. This is used for security and to understand which pages are useful. If we use a web analytics service, it is configured to report aggregate traffic patterns rather than to identify individual visitors.

How We Use Your Information

We use what you send us to respond to your question, evaluate and follow up on a volunteer application, schedule and document a fire inspection, send information you have asked for, and keep the records a fire department is required to keep. We do not use your information for advertising, and we do not add you to a mailing list unless you ask us to.

Emergency Calls Are Different

This website is not a way to report an emergency. In any emergency, call 911. Information related to an actual 911 response — including patient care records created by our EMS providers — is handled under state emergency medical services rules and applicable federal health privacy law, not under this website policy.

Who Sees Your Information

Submissions are received by the department officers and volunteers responsible for that subject — for example, the training officer for volunteer applications or the fire inspector for inspection requests. We may share information with our website host, form, and email providers strictly so they can deliver the service, and with local government partners or state agencies when a request concerns them or when the law requires disclosure.

As a public agency in Wisconsin, some records we hold may be subject to release under the state public records law. We respond to such requests as the law requires and withhold or redact information where the law allows.

How Long We Keep It

Contact messages are kept only as long as needed to resolve the matter. Volunteer applications are retained for the period we may reasonably reconsider an applicant, and inspection records are retained according to the applicable municipal records retention schedule. You may ask us to delete information you have submitted, and we will do so unless a record-retention requirement prevents it.

Security

The site is served over an encrypted connection, and form submissions are delivered to department email accounts protected by passwords and access controls. No website can promise perfect security, so please do not send sensitive medical or financial details through a web form.

Cookies

Our site uses only the cookies needed for the site to function and, where enabled, basic analytics cookies. You can block or delete cookies in your browser settings; the site will still work.

Children

This site is intended for a general audience and is not directed to children under 13. We do not knowingly collect personal information from children. Volunteer and cadet inquiries involving a minor should come from a parent or guardian. If you believe a child has sent us information, contact us and we will remove it.

Links to Other Sites

We link to outside resources such as our Facebook page, state agencies, and fire safety organizations. Once you leave this site, the other organization’s privacy policy applies. We are not responsible for their content or their practices.

Your Choices

You may ask what information we hold about you, ask us to correct it, or ask us to delete it. You may also opt out of any non-emergency communication from the department at any time. Send the request to the address below and include enough detail for us to find the record.

Changes to This Policy

If we change how we handle information, we will post the revised policy on this page and update the date at the top. Material changes will be noted on the page for a reasonable period.
